Tasks
A task is a piece of client work with a place to live. It can be pinned straight onto the Squarespace page it is about, or start from your dashboard, the client portal, a chat message or an email – and you run it to done from the Tasks page.
Pinning a Task on the Page
On Squarespace, the Squarepaste widget appears in the Squarespace editor, never on the live site. To pin a task:
- Log in to Squarespace and open the site in the editor; the Squarepaste widget appears in the bottom-right corner
- Open the widget and click the pin icon at the right of the tabs ("Pin a task to the page") – the pointer becomes a crosshair and the element under it is outlined
- Click the spot on the page the task is about
- A pin drops there and a small card titled "Task" opens with a Description field
- Click "Add task" to file it, or "Discard" to throw it away
- Click the pin icon again ("Stop pinning tasks") when you are done
While task mode is on, clicks go to Squarepaste rather than to the Squarespace site, so nothing on the page is triggered by accident. Tasks already pinned to that page appear as markers too, each carrying the photo of whoever raised it; clicking a marker opens that task. Filing a task requires being signed in to the widget. When you pin a task yourself, the card also asks how it is billed.
What Arrives With a Pinned Task
A pinned task carries the context you would otherwise have to ask for. Alongside the description, Squarepaste records:
- The page the task was pinned on, and where on it the pin sits
- A screenshot of the page as the client saw it, taken at the moment they clicked and uploaded only if they go on to file the task
- The size of their browser window, and the browser and operating system
The screenshot shows the visible part of the page, with the Squarepaste widget itself left out and anything typed into form fields masked. You will find it in the task's detail panel under "Screenshot", with the pin drawn back where it went.
Other Ways a Task Starts
Not every piece of work has a spot on the site to pin, so tasks also start:
- From your dashboard: "New task" on the Tasks page asks for a project, what needs doing, how it is billed, and an optional due date
- From a chat message: the "Make this a task" icon on a message opens the same form as "Make a task", already filled in with the message text
- From an email: an email to a project arrives as a chat message, so it becomes a task the same way
- From the client portal: your client clicks "New request", describes the work and clicks "Send request"
However it starts, you are told about it in the dashboard, and by email as well if "Email me on new messages" is on for that project.
Task Statuses
Every task is in one of five states:
- Open: raised and not started – where every new task begins
- In progress: you are working on it
- Waiting on client: it cannot move until your client comes back to you
- Resolved: done
- Cancelled: not going to be done, with your reply explaining why
The statuses are yours to run. A client can mark a task resolved when they consider it finished, and reopen one they resolved themselves – nothing else. They cannot cancel a request, or revive one you cancelled.
Table and Board Views
The Tasks page shows every project's tasks together, as a table or as a board. The toggle sits at the top right and your choice is remembered in that browser.
- Table: description, cost, status, due date and when it arrived, 25 at a time with "Show more" for the rest
- Board: one column per status – drag a card into another column to change its status, or focus a card and press Shift with the left or right arrow
Above both views, a card per status shows how many tasks are in it and doubles as a filter. On the board, Cancelled starts folded into a slim column so it stays out of the way while remaining somewhere to drop a card.
Working a Task
Opening a task from either view slides out its detail panel, where you can:
- Reply to your client, and read their replies
- Change its status
- Choose how it is billed (No cost, Fixed cost or Hourly), set a cost, or run the timer on an hourly task
- Set a due date
- Jump to the page it was pinned on, or the chat message it came from
- Mark it resolved, or request payment for it
You can change how a task is billed until you request payment for it. Every change to billing, cost, due date or status is recorded in the task's history, shown at the top of the panel. To delete a task – a duplicate, or something filed by accident – use the bin icon on its row in the table.
Tip: Cancel a request you are not going to do rather than deleting it. A cancelled task stays visible to your client with your reply attached, so the answer is on the record; a deleted one simply disappears.
